Fix and manually set time zone for appointments in Calendar for iPhone, iPad and Mac

Smart options to avoid confusion

When you go on holiday to a country with a different time zone, it takes some getting used to. Especially when travelling far to America or Asia, it is important to adjust to the new time. When appointments are scheduled in the Agenda application, they are not automatically adjusted to the new time zone.

An appointment at 7pm in the Netherlands is also an appointment at 7pm in Tokyo, while there is still a 7-hour difference. Not really convenient if, for example, you have to call someone at 7pm Dutch time. You can then choose to manually manage the time zones in the Calendar app for Apple.

Time Zones in Calendar

On iPhone, iPad and Mac it is possible to use Time Zone Priority. This allows you to fix the time zone for the Calendar app and manually link a time zone to a calendar appointment.

By default, the calendar app uses your current location for all appointments. When you change time zones, these appointments are also adjusted in time based on your new location. By using time zone priority, appointments are kept in the time zone in which they are scheduled and you can manually link a time zone to an appointment, which is especially useful for future appointments.

Set time zone priority

  • Open Settings on your iPhone or iPad
  • Navigate to ‘Agenda’
  • Select ‘Time Zone Priority’
  • Enable the option of the same name
  • Select a desired time zone (for example: Amsterdam or Brussels)

On a Mac, you can enable this via the Calendar app â–¸ menu bar â–¸ Calendar â–¸ Settings â–¸ Advanced. Check the option ‘Enable time zone support’.

Adjust time zone for appointments

Once you use time zone priority, all new and existing appointments will be linked to the time zone you set in Calendar settings. When you switch time zones, the appointments will keep their time zone and time.

When adding or editing an appointment, you can choose a time zone in addition to a start and end time. This way, you can schedule an appointment for a specific zone and Agenda will automatically take this into account.

When you enable the “Turn on Time Zone Support” option on a Mac, a pop-up menu is also added to the Calendar app’s toolbar that lets you choose the time zone in which all events are displayed. For example, an event set for 12:00 PM Pacific Time will display at 7:00 PM GMT.

Appointments keep their time

When you arrive in a different time zone, the Agenda will travel with you, but the time of the appointments will not. This means that the activities for Las Vegas will be displayed correctly, but those for Amsterdam will be adjusted to the new time. So if you have an appointment scheduled at 19:00 in Dutch time, it will shift to 10:00 because you are in a different time zone.
