Replace text automatically

A trick of Word: when you type a string you define, it is automatically replaced with the words you want.


It can be useful to automatically replace abbreviations, words or other text that regularly appears in your documents. For example, Word can auto-complete the abbreviation “Mvg” to the full “Sincerely,.” To do this, you must first enter these types of combinations. In this tip, we’ll show you how to automatically replace the string ‘MVG’ with ‘Sincerely,’.

You can decide for yourself which string you want to have replaced. Just make sure that it is not an existing word, otherwise that word will be replaced every time and that is not useful.

  • Launch Word.
  • Click on the tab File.
  • click on Options > Check.
  • click on AutoCorrect Options.
  • Check the box if necessary Replace text as you type. If you don’t see this, first click on the tab Autocorrect.
  • Under ‘Replace’, type the string you want to use. In this example it is ‘MVG’.
  • Under ‘By’, type the text you want to recall. In this example, it’s ‘Sincerely,’. If necessary, remove the asterisk from the text box first.
  • click on Add > OK.
  • Click again OK to close the menu.

You return to the Word workspace. Now every time you type in your new string, it will be automatically replaced with the words you entered.
