In Google Docs you can now have a document approved by colleagues. Then they can give feedback and if approved, the file is locked. The feature helps improve collaboration and is rolling out to Workspace users.
Google Docs and Approval
Google wants to make it easier to collaborate on files in Docs. From now on you can hand in the work you have completed to your boss or colleagues for a check. From the ‘File’ tab, Workspace users will see the ‘Approval’ heading. There they can enter names or email addresses of the people who need to check the document. They will receive an email in their inbox with the request for approval.
The reviewers can then provide feedback on the document, approve or reject the document. Once all colleagues who received a request give their blessing, the file will be locked to prevent further changes. It is also possible to change things, but after that everyone has to give their approval again.
The function can be useful for many applications: think of contracts or legal documents. The feature has been beta tested for two years, but now Google is judging in a blog post that the feature can actually come in handy for a lot of situations. In the next two weeks, the Approval button will therefore be visible to all Workspace users. An employer can, however, disable the function afterwards.
More Workspace news
Earlier we wrote on Androidworld that Google Workspace now helps users keep work and private life separate on their phones. Gmail has also received a lot of visual improvements when composing mails. In addition, Google Calendar now shows how much time you spend in meetings each week.
What would you use this approval system in Docs for? Could this be useful at your workplace? Perhaps you and your colleagues already use your own system where documents are approved in a convenient and clear way? Let us know in the comments at the bottom of this article.
