Sometimes it is useful to save a specific email on the computer. For example, an email about a subscription. It can be useful to save it on your PC in a folder with information about all your subscriptions. In this article we discuss the steps to save an email in the Mail, Office Outlook and Gmail programs. These programs all offer the possibility to save emails as PDF, but otherwise the options differ per program. The advantage of a PDF is that the layout of an email is preserved and the file can be opened without a mail or word processing program. Other options are saving as a text file or mail file. With the latter option, the mail only opens in a mail program.
Save as PDF via Mail
To save an email as a PDF in the Windows Mail program:
- Open Mail.
- Click on the desired email.
- Click on the three dots at the top right of the email.
- click on Print.
- Under ‘Printer’, click the drop-down menu.
- click on Microsoft Print to PDF.
- click on Print.
- The Explorer window opens. Change the name if necessary and navigate to the place where you want to save the mail.
- click on Save.
Save via Mail as an e-mail message
In Mail it is also possible to save an e-mail as an e-mail file.
- Open Mail.
- Click on the desired email.
- Click on the three dots at the top right of the email.
- click on Save as.
- The Explorer window opens. Change the name if necessary and navigate to the place where you want to save the mail.
- click on Save.
Save as PDF via Microsoft Outlook
Save an email as a PDF in Microsoft Outlook as follows:
- Open Microsoft Outlook.
- Click on the desired email.
- Click in the Ribbon on File.
- Click in the blue section Print.
- Under ‘Printer’, click the drop-down menu.
- click on Microsoft Print to PDF.
- click on Print.
- The Explorer window opens. Change the name if necessary and navigate to the place where you want to save the mail.
- click on Save.
Save as text or Outlook file via Microsoft Outlook
In Microsoft Outlook it is also possible to save an e-mail as a text or Outlook file.
- Open Microsoft Outlook.
- Click on the desired email.
- Click in the Ribbon on File.
- Click in the blue section Save.
- Click on the drop-down menu after ‘Save as’.
- Choose the desired file format, for example text-only or Outlook Message Format – Unicode.
- The Explorer window opens. Change the name if necessary and navigate to the place where you want to save the mail.

Save as PDF via Gmail
Follow the steps below to save an email as a PDF file in Gmail:
- Open Gmail through the browser.
- Click on the desired email.
- Click on the three dots at the top right of the email.
- click on Print.
- Click on the drop-down menu next to ‘Destination’.
- click on Save as PDF.
- click on Save.
- The Explorer window opens. Change the name if necessary and navigate to the place where you want to save the mail.
- click on Save.
Save as an email via Gmail
In Gmail it is also possible to save an email as an email file.
- Open Gmail through the browser.
- Click on the desired email.
- Click on the three dots at the top right of the email.
- click on Download message.
- The message is automatically placed in the ‘Downloads’ folder.
