Tip: Collaborate with the Notes app on Mac

Did you know you can work with several users at the same time in the Notes app on the Mac? In this article we explain how that works.

You probably know the Notes app mainly from the iPhone, but it is also available on macOS High Sierra with the same functions. The minimalist notes app is not only convenient to use for yourself, but also for collaborating with multiple people. This can be done in various ways, which we explain step by step below.

Collaborate in one note at the same time

You can work with others at the same time in the Notes app on your Mac. All you have to do is create a new note and invite others. That’s how it works:

  1. Open Notes;
  2. Go to the document to share and collaborate;
  3. Click on the circular icon with a human silhouette and a plus sign to add people;
  4. You can invite people via email, with a message, via a url, Twitter or Facebook;
  5. Send your invitation by clicking on ‘Share’.

Recipients will be given a link that they can open on an iPhone, iPad running iOS 11, or a Mac running macOS Sierra. In addition, they can access via iCloud.com.

Collaborate in Notes

You can work with each other in real time in the Notes app. You will then see what the other person types and vice versa. Unfortunately, it is not possible to see who made the adjustment. In that respect, Apple’s solution still lags behind the simple Google Docs.

Stop sharing

If you are done with the document and you want to make sure that the others no longer have access, you can stop sharing with the group. You do that like this:

  1. Go to the shared note;
  2. Tap the collaboration icon (the circle with the silhouette that now has a check mark);
  3. Choose to stop sharing.

In this way you can also ensure that one person or certain people are denied access.
