Should you use Zoom? These are the best tips

Zoom

Now that as many people as possible are working from home, there is a good chance that you will also encounter video conferencing applications. Zoom is currently one of the most popular programs for this, despite all the privacy concerns. In this article, we will give you the best tips related to the program.

Before we start on Zoom, it might be helpful to read through the standard etiquette. This is best done if:

• You mute your microphone when you are not speaking.

• You use headphones when listening to someone else.

• And you test audio, sound and video before you get started.

This way you can be sure that you don’t disturb anyone and that the meeting goes well. Nothing is more annoying than a technical defect during a digital meeting.

See who has signed up for the Zoom meeting

In some cases it is useful to see who has signed up for the Zoom meeting, such as during a class or important meeting. This is only possible if you are the host, you have enabled Usage Reports and you are the administrator. You also need a Pro, API Partner, Business or Education subscription.

To get the report, log in to the Zoom website with your own account. Then go to Account Management / Reports. Under Usage Reports, click Meeting. Here you see all meetings: planned or completed. Find the words Report Type and choose the option Registration Report or Poll Report. Find the meeting you just had and click Generate. You can then download the list of attendees.

Record zoom meeting

Recording a Zoom meeting is useful for a variety of reasons, but mainly to have shared information quickly available.

Before doing this, however, it is wise to ask other attendees if it is okay to make a recording. You can save a recording online in the cloud or locally. Below we have shared a video of Zoom, which explains in detail what the possibilities are.

Create a waiting room within Zoom

When you create a waiting room, you can see exactly who wants to be at the meeting. Then you decide who can eventually enter: this can be done individually or a group of people at once. So you determine who will soon and who will not; so you are a kind of gatekeeper. In addition, you can use the Waiting Room as a means of avoiding small talk, since you are not yet in contact with people.

Create a Poll

You can also create a Poll that people can answer during the Zoom conversation. Nice to test something or to gain interest, or to break the ice. Before you can do this, you need to activate the function under Account Management / Account Settings (options may vary by account type).

Collaborate and annotate

For some projects it is useful to collaborate on a certain file and then annotation is useful. Fortunately, this is possible via Zoom. This is possible with existing images, but also with a digital whiteboard. To activate that, visit the website at Account Management / Account Settings / Meeting (tab) / Meeting (Basic). Here you will find the options for annotating. Do you want to annotate as a person who participates in the meeting? Then you need the toolbar. Go to this View Option / Annotate.
