It happens to everyone: you send an email and you forget to add the attachment. However, most major mail services have a feature that reminds you of the attachment if you refer to an attachment in the body of the mail.
Gmail – attachment reminder
With Gmail, the attachment reminder is enabled by default, but the condition to receive such a notification is quite strict. This mail service parses the messages and automatically responds when you have used certain words without file attachments.
Of course, Gmail must be set to the correct language. You can arrange that via the gear at the top right and that’s how you get to View all settings. You will automatically receive a reminder if you have used the words “see the attachment”, “see attachment”, “I have attached” and “attached file” in an email and on Send press.
It won’t work if you just wrote the words “attachment” or “attachment”. If Gmail is in English, the reminder will work for terms like “see attachment”.
Outlook – attachment reminder
Also Outlook has a reminder for attachments in both the app and the online version. In the app you open for that File / Options. Then choose in the left column for E-mail and in the part Send messages put a checkmark next to Notify me when I send a message that may have an attachment missing. In the web version, click on the gear icon and go to View all Outlook settings.
You can also get there Email / Attachments indicate that you want to receive a warning if you send a message that may be missing the attachment. You have to be careful with this if you use a signature in which a graphic file has been processed; Outlook interprets such images as images anyway.
Mailbutler extension for attachments
Then finally there is mail butler an extension for Gmail, Apple Mail and Outlook. This is a mail assistant that adds several extra features to the mail program, such as the option to send messages at a specific time, and also provides various templates.
You can use Mailbutler for free for two weeks in the pro edition. After that, you can either settle for the limited features of the free version or switch to one of the three paid variants. In Mailbutler you decide which words trigger the mnemonic for your mail attachments.
