Write emails with standard replies and save them for later use. For example, are you the treasurer of the billiards club, and you want to send a reminder email to members who are late in paying? Then it is annoying to have to type an email again and again and to think about formulations. How to set a default response:

  • Log in to Gmail from your computer.
  • Click on the gear at the top right.
  • click on View all settings.
  • At the top under ‘Settings’ are a lot of tabs. Click here Advanced.

  • Gmail calls canned responses “templates”. Click behind ‘Templates’ on To turn on.
  • Click at the very bottom of the page Saving Changes.
  • Click on the left side draw up and write a message.
  • Done with the standard message? Then click on the three dots at the bottom.
  • click on Templates > Save draft as template > Save as new template.
  • Give the template a name and click Save.

Using a canned response?

  • click on draw up.
  • Click on the three dots at the bottom.
  • click on Templates > [naam van de toegevoegde template].
  • The text appears in the message. Make any adjustments and add a recipient. Finally click on Send.

Suppose you are really an evening person and you regularly crawl behind the computer in the evening or at night. Just not everyone needs to know that you were typing an email at half past three in the morning. Schedule yourself when the e-mail will be sent and the recipient will receive the e-mail in the mailbox at a reasonable time. Read here how that works.

When sending, indicate how long the recipient can keep the mail in his or her mailbox. When the time has elapsed, the mail disappears from the recipient’s inbox.   • Surf on your computer to gmail and log in.
  • click on draw up to write a new email.

  • Enter an expiration time.
  • Set or not set a passcode by SMS.
  • Choose on Save.
  • Enter recipients and, if necessary, continue writing the email.
  • click on Send.

Sometimes you write an e-mail on a whim that made you think: if I had only counted to ten, I probably wouldn’t have sent it. Gmail offers a lot of (free) storage for your emails. That means there are probably hundreds, thousands, or maybe tens of thousands of messages stored online in the Inbox. Try to find an email in there. Fortunately, Gmail has an extensive search function to search specifically by keyword, in a certain period, for mail with an attachment or from a specific sender.

  • Open Gmail on the PC.
  • Click the icon for next to ‘Browse messages’ Show search options.

  • Fill in the search criteria and click on To search.

Admittedly: it is not really realistic that Google will go bankrupt or lose your e-mails, but just to be sure or because prevention is better than cure, it is possible to make a complete backup of all your e-mail with Google. Not just from Gmail, by the way, but from all products of the internet giant.

  • surf to Google Takeout.
  • Remove all checks except Gmail by clicking Deselect all items.
  • Put a check next to ‘Email’.
  • Scroll down and click Next step.
  • Choose how you want to receive the files. Enter this in the ‘Delivery method’, ‘Export type’, ‘File type’ and ‘Export size’.
  • click on Export to make.
  • The progress appears on the screen.
  • Depending on the size of the file, it can take hours or days for the backup to complete.

If the mailbox is too full for a while, it is possible to temporarily snooze incoming messages. This means that they are on hold for a while, until you have time to view them. That leaves room to deal with the most important e-mails first. The delayed messages will not reappear in the Inbox until the set snooze time has expired.

  • Surf on your computer to gmail.
  • If necessary, click inbox.
  • Hover over a message and click Snooze (the clock).

  • Choose a suggested snooze time or click Choose date and time.
    • Choose date and time and click Save.
  • Want to snooze multiple messages? Select the messages and click at the top Snooze.
