Send high urgency emails

Send important emails labeled ‘high urgency’. The recipient immediately sees that the email needs his attention.

By default, emails go out without any particular urgency or priority. They arrive in someone’s mailbox without additional mention in this area. E-mails that need to stand out can get an extra label. In mail terms this is called ‘high urgency’. By adding it to a message, the e-mail gets a striking red exclamation mark in the recipient’s mailbox. That person then knows that you sent the email in the hope that he will read it quickly and respond if necessary. Conversely, if you receive an e-mail that has been sent with great urgency, it is good for the sender if you read it as soon as possible.

Mail only with high urgency if it is really something urgent. People don’t like being given unimportant things with high urgency because it misleads them.

Give your own e-mails or the e-mails that you forward a high urgency, if they are really important.

Set high urgency

Give an email such a high urgency:

  • Start Office Outlook.
  • click on new e-mail.
  • Enter all the usual information: recipient’s e-mail address, subject and the e-mail message itself.
  • Click on the tab Message.
  • In the ‘Labels’ section, click High urgency. On small screens, sometimes there is only an exclamation mark icon.
  • click on Send.

The Sent Items folder now has a red exclamation mark to the right of the recipient’s name, above the time of sending. This exclamation mark is also included with the e-mail in the recipient’s mailbox.

Set high urgency when forwarding email

A standard e-mail can also be forwarded with high urgency, even if it is not included in the original message. It goes like this:

  • Click on the email you want to forward with high urgency.
  • click on Forward.
  • Type the recipient’s email address in the box to the right of “To.”
  • Click on the tab Message.
  • In the ‘Labels’ section, click High urgency.
  • click on Send.

Get high urgency from emails

Emails you receive with urgency retain that urgency if you forward them. The urgency can be removed before forwarding. For example, if the message is not that important (anymore) in your eyes.

  • Click the email you want to remove the urgency from for forwarding.
  • click on Forward.
  • Click on the tab Message.
  • In the ‘Labels’ section, click High urgency.
  • The gray background of ‘High Urgency’ becomes lighter. The function is disabled. click on Send.

Give your own e-mails or the e-mails that you forward a high urgency, if they are really important.

Get high urgency from emails

Emails that you get yourself with urgency don’t retain that urgency if you forward them through Mail. You can add it again using the method above.

On Mac computers, Apple Mail is the default program to send and receive emails. The high urgency is called ‘priority’.

Set high priority

  • Start Mail.
  • click on New message.
  • Enter all the usual information: recipient’s e-mail address, subject and the e-mail message itself.
  • Click on the button with the dashes.
  • click on Priority field.
  • An exclamation mark appears to the right of the subject line. Click on this.
  • click on High priority.
  • Click on the ‘Send message’ button.

Add high priority to a mail to forward

  • Click on the email you want to forward with high urgency.
  • click on Forward.
  • Type the recipient’s email address in the “To” box.
  • Click the exclamation point to the right of the subject line.
  • click on High priority.
  • Click on the ‘Send message’ button.
